A business can have good software and a difficult operating experience. The website collects enquiries, the email platform holds a list, the CRM tracks some conversations and reporting sits in another place. Each tool works, but the team has to carry the connections manually.
The cost is not only the subscription bill. It is the repeated work, the uncertainty and the information lost between systems.
Follow one record
Take a recent enquiry and trace it from the website to its current position. Where was it copied? Which details were omitted? Who knew the source? Where is the next action?
This exercise reveals the working system more clearly than a list of software. It shows where the team is compensating for a connection that has never been designed.
Decide the source of truth
Identify which system owns each kind of information. The CRM may hold the relationship record, the publishing platform the article and the accounting system the invoice.
The decision should reflect the business’s workflow. Avoid maintaining several competing versions of the same record without a reason or a reconciliation method.

Connect only what is useful
Not every available integration deserves to be enabled. Choose the information and actions that support the agreed process. Document the trigger, destination, owner and failure route.
A small number of reliable connections can be more valuable than a complex web of automations nobody understands. Simplicity makes diagnosis and handover easier.
Make failure visible
A connection can stop when an account changes or a permission expires. Decide who will notice and what they will do. Test the agreed alert and backup process.
Keep enough documentation to locate the workflow and understand its purpose. An automation that only one supplier can explain creates an avoidable dependency.
Review the operating burden
Ask the team which repeated tasks consume time and which handovers cause uncertainty. Prioritise the connections that remove meaningful friction.
The goal is not to own fewer tools for its own sake. It is to make the tools behave as a coherent system around the work.
